If you check the consent box on our contact form, you agree to receive SMS text messages from Seabrook Psychological Services PLLC regarding your inquiry, scheduling, appointments, and related administrative communications. Message frequency varies. Message and data rates may apply.

Reply STOP to any message to opt out. Reply HELP for assistance.

Text messages are not a secure or confidential method of communication. Please keep them to scheduling and administrative matters, and do not use text messages in an emergency. If you are in crisis, call or text 988, or call 911.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing with subcontractors for support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We do not share or sell consumer personal information, including phone numbers, to third parties or affiliates for marketing or lead generation purposes.

Contact form submissions. Submissions are transmitted over an encrypted connection and stored in a private Google Workspace account controlled solely by this practice. Google Workspace operates under a Business Associate Agreement with this practice. Submissions are retained for 60 days and then automatically deleted. This is an intake channel, not a records system — anything that needs to be kept is moved into our electronic health record.

Client portal and record uploads. If we are moving forward with your inquiry, we may create a record for you in SimplePractice, our practice management and electronic health record system, and send you a secure client portal invitation. The portal allows you to upload prior evaluations, school records, medical records, or other documents relevant to your care.

Documents you upload through the portal are stored in SimplePractice, which operates under a Business Associate Agreement with this practice. Please upload records only through the portal rather than by email, as email is not a secure channel for this kind of material.

Email, telephone, and text messages. Our email is provided by Microsoft, and our telephone and text messaging services are provided by Zoom. Both operate under Business Associate Agreements with this practice.

Text messages travel across cellular carrier networks, which are not covered by any of these agreements, and they arrive on a device we do not control. This is why we limit text messages to scheduling and administrative matters and ask that you do the same.

How long we keep records. Once you are a patient, the information we hold about you — including anything you uploaded — is governed by our Notice of Privacy Practices rather than by this policy.

Florida law requires licensed psychologists to retain psychological records for a minimum of three years after the completion of services or the date of last contact, whichever is later, and to retain the records or a summary of them for an additional four years after that. Where these requirements apply, we retain records for the required period even if you ask us to delete them, and even if you did not go on to receive services.

Where no retention requirement applies, you may ask us to delete a portal record and any documents you uploaded, and we will do so. Contact us using the details below and we will tell you which of these applies to your situation.

We may disclose information where required by law, including mandatory reporting obligations that apply to psychologists licensed in Florida.
